Dear Esteemed Exhibitors,

On behalf of the Society of Petroleum Engineers, Nigeria Council, I cordially invite you to the 47th Nigeria Annual International Conference & Exhibition (NAICE 2024).

The conference, titled “Petroleum Industry Value Chain Optimization: The Inevitability of Midstream and Downstream Development”. will take place from August 5th to 7th August, 2024, in the Expo Centre of the Eko Hotel & Suites on Victoria Island in Lagos, Nigeria.

This year’s NAICE exhibition is the largest in the organization’s history, with over 50 oil and gas organizations displaying their products, services, and potential impacts of the ongoing global energy transition. The SPE Nigeria Council is delighted to be working with our valued exhibitors to make this year’s show a success, and our exhibition manual reflects that.

WELCOME ADDRESS BY SPE NIGERIA COUNCIL CHAIRMAN

On behalf of the Society of Petroleum Engineers (SPE) Nigeria Council, I formally welcome you to the 47th Nigeria Annual International Conference & Exhibition (NAICE 2024) holding at the Eko Hotel and Suites, Victoria Island Lagos from 5th to 7th August 2nd, 2024.

As we navigate an ever-evolving energy landscape, the importance of maximizing efficiency, reducing costs, and enhancing sustainability in our operations cannot be overstated. Hence, This year’s conference themed “Petroleum Industry Value Chain Optimization: The Inevitability of Midstream and Downstream Development“.

The conference will showcase discussions, technical workshops, exhibitions, networking opportunities, and end with an award ceremony.

A panel of seasoned professionals, industry leaders, academics, and experts in the energy sector has been meticulously selected to address and propose solutions for sub-topics related to the central conference theme. The Women Leadership Program will focus on promoting Equality through the development of Leadership Strategies aimed at fostering Gender Inclusivity within the Petroleum Value Chain. The Young Professional Programs have also been designed to uphold its longstanding achievement as a platform for the development of young professionals and students pursuing rewarding careers in the energy sector.

1       EXHIBITION INFO

 

1.1   Exhibition Venue

1.3 Exhibitor Booth Construction:

To guarantee orderliness, booth construction will be allowed within the following times.

Start: 03:00 Hours Saturday, August 3rd, 2024

Ends: 05:00 hours Monday, August 5th, 2024

All exhibitors are advised to arrive at the venue before noon on Saturday, August 3rd, 2024, to guarantee timely set up of their booths.

All booths must be fully installed by 05:00 hours on Monday 5th August, 2024. Construction of booths will not be permitted beyond 05:00 hours on Monday 5th August 2024. Any defaulting company will be prevented from exhibiting.

NOTE: Forklifts will not be allowed into the exhibition hall.

1.4 Daily Exhibition Schedule

  • Exhibition Opening/Closing Times:
  • 08:00 / 17:00 hours daily August 5th  to August 6th, 2024, and 08:00 / 12:00 hours, Wednesday August 7th, 2024
  • End of Exhibition/Dismantling of Exhibits: From 12:00 hours Wednesday 7th August 2024.

1.5 VIP Tour of Exhibition booths

Monday, 5th August 2024

The VIP tour by dignitaries, top government representatives, Heads of parastatals, IOC Leaders, SPEI Leadership, etc., will take place at the exhibition hall immediately after the Opening Ceremony scheduled to commence at 10:00hrs.

1.6 Exhibitors move out/ booth dismantling.

The exhibition ends officially by 12:00 hours on Wednesday 7th August 2024. Dismantling of all booths and equipment will commence from 12:00 hours on Wednesday 7th August 2024. All dismantled equipment and exhibits are expected to be removed from the hall by 15:00 hours on the same day.

 

2             RULES AND REGULATIONS

1. Access for vehicles carrying goods or merchandise to leave or pick up from the loading area of the Exhibition Arena will be in order of arrival during the setup and dismantling hours.

2. All exhibitors moving goods and various items for their booth set up must enter through the loading area of the Exhibition Arena only.

3. The movement of goods or merchandise and the use of hand trucks or loading carts are prohibited in the lobby area of the Exhibition Arena.

4. All exhibiting personnel must register by themselves or get registered by their company’s focal point for group registrations using the link that will be later communicated. They will be provided exhibitor tags for access into the exhibition hall.

5. Exhibition personnel can access the exhibition hall one hour earlier (from 07:00 hours) to prepare for the day’s activities.

6. All booths must be manned by at least one company representative during official exhibition hours. Exhibition space must be maintained in a neat, orderly manner throughout the exhibition, and no dismantling may begin before the official closing hour on the final day of the exhibition. Exhibitors must wait until 12:00 hours Wednesday 7th August 2024 to dismantle their booth.

Failure to comply will lead to penalization.

7. SPE policy on the consumption of alcohol at official SPE events shall apply – see www.spe.org SPE encourages everyone serving alcohol to make adequate transport arrangement for those invited. Consumers are to act responsibly and should not drink and drive nor operate machinery while under the influence of alcohol.

8. Exhibitors are to ensure that booth construction is carried out in a safe manner and ensure that contractors use proper personal protective equipment and safety procedures are adhered to, to prevent accidents and injuries.

9. Equipment and displays must be arranged within the booth so that visitors do not block the aisle while examining equipment or watching demonstrations. Normal aisle traffic cannot be blocked at any time. Should TV/Plasma/LCD screens placed on the outside walls or outer edge of a booth result in blockage of traffic, the exhibition committee reserves the right to ask the screen in question be turned off.

Health Protocols: Hand sanitizer dispensers will be provided at strategic locations in the exhibition hall. Other relevant health protocols (such as the Covid-19 protocol that was implemented during 2022 NAICE) will be communicated to all stakeholders before the conference.

SECURITY: SPE in partnership with the venue management will provide appropriate security to ensure the safety of attendees and exhibitors. SPE assumes no responsibility for loss, damage or theft incurred to any exhibit or property of the exhibitor. SPE advises that exhibitors are extra vigilant and take extra care not to leave valuables or other sensitive materials exposed to theft or damage.

INSURANCE: Should it be required, insurance covers against fire, public liability, theft and third parties must be taken out by each exhibitor at its own expense. The insurance is to cover the full period of occupancy of the exhibition hall by the exhibitor, its agents, and employees.

CLEANING AND DISPOSAL OF USED/EXCESS MATERIALS: Each exhibitor must keep their booths clean and properly dispose of all refuse. Every used or leftover materials resulting from delivery, installation and removal activities of the exhibitor shall be disposed of at the exhibitor’s expense.

AUDIO VISUALS: Each Exhibiting Company is to provide its audio-visual aids for its presentations. Sound systems are allowed in exhibition areas with volumes set to reasonable levels. The system must be maintained at a moderate level not to disturb the neighbors or any presentation or negotiation around. SPE will constantly monitor all sound systems. Any violation of this sound regulation will be notified verbally at first, the second time will be a written notice and the third time, the sound system will be shut down for the rest of the day.

PUBLIC ADDRESS SYSTEM: Please see the exhibition team members at the SPE booth with your announcement as unauthorized access to the Eko Hotel PA system is discouraged.

IMPORTANT NOTE ON POWER SUPPLY: All exhibitors are required to come along with their own Uninterruptible Power Supply (UPS) systems to help keep their audio visuals on display (where applicable) running. The power supply at Eko Hotel has been known not to be steady and it is important for us to maintain a continuous flow of displays. Note that the UPS would only be used to power computer and audio systems set up and NOT lighting. Specification of power to be provided is 220-240V, 50-60 Hz and there will be no charges for power consumption. However, power will be provided to the booth by SPE but distribution within the booth shall be for the Exhibitors.

FOOD AND BEVERAGE: The Society of Petroleum Engineers, NAICE 2024 organizers may at its discretion make complimentary or ticketed arrangements for lunch packages for interested attendees and exhibitors inclusive.

  • The sale of food and beverage is an exclusive service that can be provided only by the venue/hotel management.
  • If the exhibitor’s booth is one which provides any kind of food or beverage at a fee or for free, it must be prior approved by the NAICE 2024 conference managers.
  • No beverage can be distributed in containers of over 3 oz. and food must be distributed in sample sizes.
  • Distribution of alcoholic beverages is not permitted in the exhibition area.

3      BOOTH DESIGN & DECORATIONS

 

Exhibitors are free to build structures within their allocated booth space but must comply with the minimum standards listed below. Exhibitors can use their customized designs, but the minimum standard is the ‘shell’ scheme.

Booth size restrictions: The booths come in multiples of 3m x 4m.

Recommended height of display must not exceed 4 meters. Booths that exceed 4m in height will be penalized with a 10% deduction from the final scores. Please note that:

Head Room main level = 7.96 – 10.17m

Head Room between main level & mezzanine = 2.45m

3.1         Guideline on Roofed Booths

1.Smoke detectors must be installed in booths that have a roof over them.
2.The use of confetti or frost is not allowed at NAICE 2024. Any charges related to the cleaning or removal of any of these materials will be borne by the exhibitor.
3.Candles and devices with an open flame are not allowed
4.The exhibitor cannot alter any part of the booth, the floor, or the facilities of SPE. Any damage caused by the exhibitor to the structure or facilities of SPE will be billed directly to the exhibitor.
5.Helium balloons are not allowed. There will be a penalty of ₦25,000 per balloon in case of escape within the facilities of the SPE.
6.Although we do not require decoration, we recommend it because it works for your own benefit and for the progress of your business. SPE only provides space; the exhibitor is responsible for bringing any decorations or equipment needed.    

4           FIRE REGULATIONS

The Society of Petroleum Engineers (SPE) mandates a strict adherence to HSSE Safety Code. The decision of the Fire Marshal is final.

1.  Exhibitors and all other parties must comply with all Federal and State mandated fire codes which apply to public assembly facilities.
2.  The following materials are prohibited without written consent of SPE: electrical cooking equipment, open flames devices, welding, cutting or brazing equipment, ammunition, radioactive devices, pressure vessels, exhibits involving hazardous processing and materials, fireworks, or pyrotechnics, blasting agents/explosives, flammable cryogenic gases, aerosol cans with flammable propellants, gas operated cooking equipment and portable heating equipment.

5           BOOTH FURNISHING

Each booth will be provided with the following:

  • Power source
  • Air-conditioning (facility has central air-condition)
  • Space
  • Security (will be central)

Each Exhibitor is to provide.

  • Waste bins
  • Chairs
  • Lighting

 

 

6    EXHIBITOR REGISTRATION

Personnel working as your exhibitor must have the access badge visible always. Booth subscriptions come with complimentary EXHIBITORS’ PASS slots for registration based on the number of paid booths as indicated below.

Registration will be required for any additional exhibitor registration which must be paid for as an Exhibitor Extra Pass. The registration link will be available from Monday 20th, May 2024.

1.Exhibitors privilege is of two categories: Exhibitor Delegate and Exhibitor pass. Exhibitor Delegates have full access to conference with Bags. Exhibitor Pass has access to exhibition hall ONLY and with no bags

3.The registration link will also provide an opportunity to register for the complimentary allotted exhibitor passes.

Additional notes on complimentary registrations:

1.  The complimentary exhibitor-only registrations allow for exhibiting companies to have dedicated booth attendees who have limited benefits and access to the conference proceedings but still allow full access to the exhibition area as well as lunch throughout the duration of NAICE 2024. Their passes shall be labeled “EXHIBITOR”. If exhibiting companies require more exhibitor passes beyond the number of complimentary exhibitors passes allotted to their booths (based on no. of booths), such passes would be paid for at the advertised rates for paid attendees (see paid attendees’ breakdown above).
2.  Some exhibiting companies may have some of their staff who desire to attend other conference advertised programs. Passes for such delegates will be paid for at the advertised rates and this category enjoys full conference and exhibition benefits and has unlimited access to all programs throughout the duration of NAICE 2024. Their passes shall be labeled “EXHIBITOR DELEGATE”. This label distinguishes them from other paid delegates to the conference so that they can be permitted entry into the exhibition halls at any time other than the time permitted for other delegates and attendees.
3.  Exhibitor companies are to submit in advance the names of their personnel who require complimentary exhibitor passes in line with the allocations based on the composition of their booths as outlined in the allocations table above. Further, they can also provide names of additional exhibitor personnel who require paid passes.    

BOOTH CONSTRUCTION, INTERNATIONAL AND LOCAL SHIPPING

Exhibitors shall be responsible for the following:

  • Construction of their booth within the space paid for
  • Shipping arrangements from home country to Nigeria.
  • Clearing within Nigerian Ports.
  • Transportation from the port to and from the Conference venue.

APPROVED BOOTH CONSTRUCTION COMPANIES

Refer to this manual for information on approved booth construction companies and suggested shipping and freight companies for NAICE 2024. Exhibitors shall inform the SPE Exhibition Committee which companies are hired for booth construction.

7      TELEPHONE AND INTERNET

Organizations and individuals may wish to provide their Internet network. The provision of telephone services shall be the sole responsibility of all attendees and exhibitors.

8        CLEANUP

  • The venue managers shall provide cleaning services during the conference and the days of the exhibition in the common area. Supervision of the cleaning is at the discretion of the exhibitor.
  • Exhibitors must make sure that there is no trash or any objects that may be an obstacle on the floor around the booth area. This will help prevent accidents.

9        PARKING

  • The parking available is the one designated by Hotel Management
  • There is ample parking space for every vehicle type. However, a request should be made for long vehicles with wide loads so that access can be arranged. Security Personnel at the entrance may not allow access to event premises without prior information.

 10       FIRST AID

  • Arrangement is ongoing to provide a stand-by ambulance at the premises for medical cases needing hospitalization. Further update will be provided.
  • Minor first aid and medical screening is also provided at the SPE booth as well as in other exhibitor’s medical areas.

APPENDIX 5: Exhibition Shell Scheme

  1. SPE, in partnership with one of the construction vendors offers a simple booth design (pictures below) called the “shell scheme” for the benefit of exhibitors that do not want to go through the rigor of design and construction of customized booths.
  2. The booth is offered at a discounted rate of 46,400 naira (for a 12 square meter booth) which includes the following.
    1. Two chairs
    1. One Table
    1. Two spotlights
    1. One waste bin
    1. One electrical socket
    1. Company name fascia
  3. Other accessories are also available at extra cost.

                    APPENDIX 7: Best Exhibitor Awards

The objective of the awards is to encourage healthy competition between exhibitors and ensure compliance with applicable rules and regulations while they are promoting their goods and services.

Independent auditors appointed by SPE will be visiting the booths throughout the three days of the conference and scoring exhibitors in different award categories based on specified criteria. Award plaques will be given to the winning companies in each category on the last day of the conference at the annual banquet.

It promises to be an interesting event, and all exhibitors are urged to put in their best effort in ensuring they come up with an exhibit that is potentially capable of winning any of this year’s awards.

The independent auditors will be judging based on the following criteria (20% each):

1.Booth readiness at opening ceremony
2.  Booth design: Quality, Attractiveness, Originality, visible branding & Uniqueness; booth cleanliness always. Not more than 4meters in height
3.  Audience engagement: regular live shows, crowd pull, discussions / demonstrations at the booth, popularity of the booth for topical subjects and activities
4.  Booth personnel: Diversity of booth representatives (gender & age), Professional appearance, friendly disposition, booth personnel presence always
5.Technology on show: ‘WOW Factor’ – interesting physical models, videos, other differentiating items on display at the booth

There will be 16 awards in 7 categories. This represents an addition of 6 awards to the 10 historical exhibition awards to address feedback from exhibitors.

APPENDIX 8: Daily Raffle Draw Competition

  1. All exhibitors would be given a rubber stamp embossed with the name of their company or a number code assigned to the company.
  2. On all show days, attendees and visitors to the various exhibitor booths would present a card/paper containing a tabulated list of exhibiting companies and the rubber stamp should be imprinted against the name of the company corresponding to the visited booth.
  3. At the end of each show day each attendee/visitor would submit their fully stamped papers for a raffle draw.
  4. The raffle draw would be conducted at a designated spot (SPE Pavilion) in the exhibition hall where the winner and 2 runners-up would be selected via raffle. There would be interesting prices to be given out.
  5. The objective of the draw is to promote interaction between visitors to the show and the exhibitors to ensure wide attendee coverage and promote interest in exhibitors’ products and services on display.
  6. Guidelines for the raffle draw would be announced prior to the draw and the Exhibition Committee reserves the right to disqualify if not in line with stipulated guidelines.
